How to invoice as a sole trader

A practical invoice structure for self-employed professionals who want a clear document without accounting-software complexity.

Start with clear business details

Use the trading or personal name you invoice under, an appropriate business address and the identifiers relevant to your business. Add contact and payment details where useful. Exact requirements vary by jurisdiction and business status.

Make the invoice easy to pay

Include a unique invoice number, issue date, payment due date, client details, a clear description of work or goods, quantity or rate where relevant, and the total due. Add bank details separately if the client pays by transfer.

Handle VAT deliberately

Do not copy VAT lines from a template unless they apply to you. VAT-registered and non-registered businesses have different requirements, and cross-border work can add extra rules.
